Show Squad Events | Event Management Services
Welcome to Show Squad Events. These Terms and Conditions govern the relationship between Show Squad Events (hereinafter referred to as “the Company/Agency”) and the Client (hereinafter referred to as “the Client”) for the provision of event management, wedding planning, and entertainment services.
By engaging our services, you agree to the following terms:
1. Scope of Services
Show Squad Events agrees to provide the services as outlined in the signed “Event Proposal” or “Service Agreement.” Any additional services requested after the signing of the contract will be billed separately and may require a revised timeline.
2. Booking and Payments
- Initial Deposit: A non-refundable booking amount of 50% is required to secure the date and initiate the planning process.
- Payment Schedule: The remaining balance must be paid in installments as defined in the payment schedule of the proposal.
- Final Payment: 100% of the estimated budget must be cleared 7-10 days prior to the event date.
- Statutory Taxes: All quotes are exclusive of GST and other government levies unless otherwise stated.
3. Cancellations and Postponements
In the event of cancellation by the Client, the following charges shall apply:
- 90+ Days before Event: Loss of the initial non-refundable deposit.
- 30 to 90 Days before Event: [50%] of the total estimated event cost.
- Less than 30 Days before Event: [100%] of the total estimated event cost.
- Postponements: Should the event be postponed, the Company will make every effort to accommodate the new date, subject to availability and a potential “Date Change Fee.”
4. Vendor Management and Third-Party Contracts
- Show Squad Events acts as a facilitator between the Client and third-party vendors (Catering, AV Production, Celebrity Artists, etc.).
- While we only work with vetted professionals, the Company is not responsible for the specific service failures or negligence of third-party vendors.
- The Company is not liable for the non-appearance of Celebrity Artists due to health, travel delays, or “Acts of God.”
5. Client Responsibilities
- Timely Approvals: The Client must provide approvals for designs, menus, and artist selections within the stipulated timeframes to avoid logistical delays.
- Permits: While the Agency assists in obtaining local permits (PPL, IPRS, Loudspeaker permits in Delhi NCR), the ultimate responsibility and cost of legal compliance lie with the Client unless explicitly stated otherwise.
6. Damages and Insurance
- Property Damage: The Client is responsible for any damage caused to the venue or the Agency’s equipment (AV gear, decor, furniture) by the Client or their guests.
- Insurance: We strongly recommend that the Client procures “Event Insurance” to cover accidents, property damage, or guest liability.
7. Force Majeure
Neither party shall be liable for failure to perform their obligations if such failure is as a result of Acts of God (including fire, flood, earthquake, storm, or other natural disasters), war, government regulations, pandemics, or strikes. In such cases, the Agency will work to reschedule the event, but deposits already paid to vendors may be non-recoverable.
8. Intellectual Property and Social Signals
Show Squad Events reserves the right to use photographs and videos taken during the event for promotional purposes on the Company website (ShowSquadevents.com), social media, and portfolios, unless a “Non-Disclosure Agreement” (NDA) is signed beforehand.
9. Dispute Resolution and Jurisdiction
These terms are governed by the laws of India. Any disputes arising from this agreement shall be subject to the exclusive jurisdiction of the courts in New Delhi/Gautam Buddh Nagar (Noida).
10. Limitation of Liability
The Agency’s total liability for any claim arising out of the event shall not exceed the total management fee paid by the Client to Show Squad Events.
Acceptance of Terms
By signing the Event Proposal or making the initial deposit, the Client acknowledges that they have read, understood, and agreed to these Terms and Conditions.
